Move your tenants, leases and owners in from spreadsheets.
These are the same CSV templates PropHaven gives you inside the app, each with a filled-in sample row. Fill them from your spreadsheets, then import. CSV import is on Standard and above, and on the Trial.

Import order
Do it in this order.
Leases link units and tenants together, so they go in last.
- 01
Add your properties and units
In PropHaven. Units can be added in bulk from one form, so a block of 40 flats is one step.
- 02
Import property owners
Optional, if you manage on behalf of owners.
- 03
Import tenants
Each tenant needs an email address. That's how leases find them.
- 04
Import leases last
Each row is matched to a unit by unit number and to a tenant by email, so both must already exist.
Tips
Get it right the first time.
The things that trip people up, taken from how the importer actually works.
- Your column names work too
- Common names like Surname, Mobile or ID number are recognised, and you can match any column to the right field before importing.
- Problems are flagged first
- You see each row before anything is saved. Rows with missing or invalid values are skipped; the rest import.
- Mark current leases Active
- A lease with a blank status imports as a draft. Put Active in the status column for leases that are running now.
- Keep unit numbers distinct
- Leases match units by number across your whole organization. If two properties both have a unit 1, rename them first (for example BC-1 and AG-1).
- Dates and money
- Write dates like 2026-01-31, as in the samples, and amounts as plain numbers (450, not $450).
- Currency codes
- Use a code like USD or ZAR. Leave it blank to use your organization's default currency.
