PropHaven is a product of Byteware, a software company registered in Zimbabwe ("we", "us" or "our"). We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose and safeguard your information when you use our property management platform and associated services (collectively, the "Service"). Please read this policy carefully. By using the Service, you agree to the practices described here.
1. Who We Are
PropHaven is a product of Byteware, a software company registered in Zimbabwe under the Zimbabwe Companies and Other Business Entities Act. Byteware is the data controller responsible for your information collected through this Service.

2. Information We Collect
We collect information in the following ways:
Information you provide directly
- Account information: Name, email address, company name and password when you register.
- Property and tenant data: Information about properties, units, owners, tenants, leases, payments and maintenance records that you enter into the platform. This data is yours and is stored on your behalf.
- Payment information: When you subscribe to a paid plan, payment details are collected and processed by our third-party payment processor. We do not store full card numbers.
- Communications: Messages you send us via contact forms, email or in-app support.
Information collected automatically
- Usage data: Pages visited, features used, clicks, and session duration.
- Technical data: IP address, browser type and version, device type, operating system and referring URLs.

3. How We Use Your Information
We use the information we collect to:
- Provide, operate and maintain the Service
- Process transactions and manage your account
- Send transactional communications (receipts, payment confirmations, system alerts)
- Respond to your inquiries and provide customer support
- Send product updates, early access information and other communications you've opted into
- Improve the Service through usage analysis and user feedback
- Detect, investigate and prevent fraudulent or unauthorized activity

We do not use your data for advertising profiling or sell it to third parties for marketing purposes.

- With your consent: For any other purpose, we will ask for your explicit consent before sharing.
We never sell your personal information to third parties.
5. Data Retention
We retain your account information and platform data for as long as your account is active. If you close your account, we will delete or anonymize your personal information within 90 days, except where retention is required by law (for example, for tax or compliance records, which may be retained for up to 7 years).
Property and tenant data you input into the Service is yours. You can export it at any time and it will be deleted upon account closure per the above timeline.
6. Security
We implement appropriate technical and organizational security measures to protect your information from unauthorized access, disclosure, alteration or destruction. These include:
- Encryption of data in transit (TLS) and at rest (AES-256)
- Strict access controls and role-based permissions for our internal team
- Multi-tenant data isolation each company's data is architecturally separated
- Regular security reviews and vulnerability assessments
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
7. Your Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal information, subject to legal retention requirements.
- Portability: Request your data in a structured, machine-readable format.
- Objection: Object to our processing of your information in certain circumstances.
- Withdrawal of consent: Where processing is based on consent, withdraw it at any time.
